It’s been a while! Lots to start posting about. We have had Sage 200c and there are lots of updates for add ons with changes to Credit Hound, the new Spindle Self Service Portal, Sicon Barcoding and Warehousing to name a few.

It’s busy, busy, busy at Smith Cooper System Partners but I am going to do my best to start posting again.

How are people getting on with Sage 200c?

My personal experience to date has been great and I love the installation as it is much quicker. The Send To Excel feature is a great addition too, saving the reformatting requirements of Export as CSV or Excel.

Sage 200 2015 Service Pack 1 is now available.

Business Partners should note the different method of installation on Clients.

This service pack contains two files:

  • Sage200v2015SP1ClientPrerequisites.exe
  • Sage200v2015SP1.msp

On a client PC both files must be run, in that order, to ensure the service pack installs correctly.

Sage200v2015SP1ClientPrerequisites.exe checks the client files and ensures that the correct registry keys are present on the client machines. Sage 200v2015SP1.msp updates Sage 200 Extra. Failure to run the files in this order will cause errors when you try to run Sage 200 Extra 2015.

On a server, you only need to install the Sage 200v2015SP1.msp file.

On 1 July 2015 Sage 200 products were given new names as below:

  • Sage 200 (on premise version) is now called Sage 200 Extra
  • Sage 200 Online is now called Sage 200 Extra Online

Why Have they done this?

In line with a new addition to Sage’s product portfolio, they are changing the existing product names to ensure products are aligned and customers can better identify the product to suite their business needs.

On  1 July, Sage ‘soft launched’ a new product called Sage 200 Standard Online. This is an online accounting solution that provides “direct support from Sage, simple scalability and a compelling online experience”.

This product is an online subscription solution, designed to bridge the gap between Sage 50 and 200 Extra Online.

Sage 200 Standard Online Benefits include:

 

  • No need for expensive hardware
  • Risk-free implementation service that allows customers to migrate their data without risk
  • Support direct from Sage that helps customers manage complexity with ease
  • Greater control of a customer’s business as it becomes more complex with intuitive financial management and commercial business tools
  • Improved insight with powerful Excel reporting tools that help customers operate more efficiently and improve performance

 

Sage 200 Standard Online availability

 

Sage 200 Standard Online soft launch will be between 1 July – 5 October 2015. Full launch of the product will be from October onwards. It will also launch in Ireland in October.

 

How can I participate?

 

Initially Sage will sell Sage 200 Standard Online directly to customers. From October, there will be opportunity for Business Partners to get involved in the distribution

On 01 April 2015, the legislation when raising or receiving a VAT invoice including early settlement discount will change. The change affects you as a supplier who offers early settlement, and/or as a customer who receives early settlement discount, where an invoice is issued.

For the current legislation, up to 31 March 2015, suppliers who offer early settlement discounts are permitted to account for and include the VAT due on the discounted price on their invoice, even if the full price (i.e. the undiscounted amount) is what is eventually paid. Customers who are offered an early settlement discount are only able to recover the VAT stated on the invoice even if they do not pay within the settlement days permitted.

From the 01 April 2015, suppliers must account for VAT on the amount they actually receive and customers may recover the amount of VAT that is actually paid to the supplier. Because of these changes Sage are releasing updates for Sage 200 however you must be aware how this impacts your version of Sage 200.

Sage 200 2015 will be fully compliant with the new legislation when it is released (end of February). It will also make it easier to process in accordance with the new guidelines. It includes two elements – compliance and usability. Sage therefore recommend that all Sage 200 sites which are affected by this legislation change upgrade their software to Sage 200 2015 as soon as possible.

Some older versions of Sage 200 will have a Service Pack released to assist with the changes however this relates strictly to the point of compliance only. Sites which have installed the relevant update will be able to continue printing compliant invoices.

Sage and indeed my recommendation for Sage 200 2011, 2013 and 2013 R2 sites is to upgrade to Sage 200 2015 as these versions will be less efficient and more prone to human error. That is unless the site has a very limited number of accounts where Early Settlement Discount is effective.

There will be no updates made available for Sage 200 2009 or Sage 200 2010. All sites on one of these versions, that are affected by Early Settlement Discount, should upgrade their software to reduce the amount of manual changes.

One of the key elements of Sage 200 2013 is the choice of deployment that it offers. Companies can now choose between an On-Premise and an Online (Cloud) deployment.

Cloud ERP solutions are becoming a serious option for companies. This is increasingly due to the savings they can make on infrastructure requirements such as the latest Hardware, Security and Backup systems. In the past, companies have been wary about how secure Cloud solutions are, as their key business data is involved. But Cloud solutions (generally) have much more sophisticated security and data recovery systems than what business can implement internally.

Sage 200 2013 Online has no upfront expenses for hardware just a single monthly subscription fee. You pay for what you use and there is more flexibility than before to add and remove users or modules.

With Line 100 becoming end of life in April 2014; Sage 200 online offers more companies an affordable upgrade option without the loss of key functionality, as now there is an upgrade option for Sage 200 without the added costs of new servers and other required components such as Microsoft SQL server.

For certain businesses it can still make sense to invest upfront, They may wish to keep data in-house and have the resources required to invest in technology/infrastructure as well as continue ongoing maintenance.

On-Premise has all the same functionality as Online, but the addition of modules which are not currently available to the online option. Therefore the requirements ofa company may dictate which option they can go for. For example if a Manufacturing solution is required, the On-Premise deployment would need to be implemented.

This document from Sage gives further details about the differences between Sage 200 2013 On-premise and Online.

Although Sage have not ‘officially’ announced a release date for Sage 200 2013, it is expected to be available by the beginning of June. There will be 3 types of licensing available including the Cloud offering (Sage 200 Online):

I am excited to share some of the new features that Sage have advised we can expect. I am yet to see the product but am itching to get my hands on it.

Sage 200 Workspaces
One of the major changes for Sage 200 2013 is the way that you will be able to view and manipulate data. As predicted when workspaces were first introduced, new workspaces will replace the existing enquiry screens and list views that you will currently be familiar with.

New Workspaces:

  • Will be available via the desktop or through the web client which gives you access to your data at anytime, anywhere, using devices running a web browser (including tablets and mobile).
  • Will allow you to configure the default views and enquiry screens to show the information that you require.
  • Can be launched from a menu item.
  • Allow you to navigate from workspace to workspace, using a selected item. E.g. select a customer account on one workspace and navigate to another workspace that shows the transactions for the selected customer.
  • Can be configured by the user to meet their individual needs. Users can:
    • Add and remove data fields
    • Find the required records using quick filters for each column of displayed data.
    • Filter and sort information using advanced filters that can be saved and shared with other users.
    • Print the data displayed on the workspace.
    • Export the data displayed to an Excel spreadsheet.
    • Launch related forms to perform tasks (desktop only).
    • Print related reports.

Importing nominal cost centres and departments

Import routines for Cost centres and Departments will be available alongside your other Financials data. The new Import Cost Centres option, allows you to create new cost centres in the Nominal Ledger. Likewise, the Import Department Codes allows you to create new departments into the Nominal Ledger. This is going to be a huge benefit when setting up new systems.

Using the same conventions as previous imports, you can set up an XML or CSV file with your new import details. A report is also generated to show you which records have been imported successfully and which have failed.

Free Text Credit Notes

In Sage 200 2013 will be the ability to raise Free Text Credit Notes within the Sales Ledger.

Entered in the same way as you would enter a free text invoice, you can use this new feature to enter free text credit notes directly onto a customer’s account.

Short Term Cash Projection

A new Short Term Cash Projection enquiry will help you forecast the amount of cash you will have in your bank accounts after your outstanding transactions have been paid.

This will allow you to view the forecast balance, and the list of outstanding transactions, within a date range that you can specify. You can create accurate forecasts by choosing specific bank accounts and transactions to be included in the forecast totals. You can even add transactions that you know are coming but have not been entered into your Sage 200 system.

You can then print a Cash Projection report, or export the information to a Microsoft Excel spreadsheet.

Future Years Budgets and Cash Flow Reports

These new features will allow you to enter budget values for your nominal accounts for up to five future years, as well as design your own financial statement layouts, based on this budget data.

For the Future Years Budgets feature, a new tab has been added to the Nominal Accounts records so that you can enter your budget values for up to five years in the future. The Maintain Accounting Periods screen has also been amended to display the end dates and status of each period for up to five years in the future.

The import of nominal accounts has also been changed to allow you to import new future budget values.

In addition, the Cash Flow Report allows you to project your cash flow from the present year, to five years in the future, based on your Sage 200 budgets. Values are displayed, per accounting period, and allow you to see:

  • opening balances
  • values for each income heading
  • total cash receipts value
  • the value for each expenditure heading
  • total cash paid out
  • the closing balance

The new report uses the actual balances for those nominal accounts that have been nominated as bank accounts in the cash flow layout.

All the above information was received from Sage.

The above new features are just a taste of what to expect. If the above is anything to go by then Sage 200 2013 is going to be a massive improvement and will prove to be a great asset to businesses!

Sage recently released their Sage Payroll RTI (Real Time Information) this allows for the reform being introduced by HMRC which will require regular submissions rather than the current Year End submission. Every business will need to move to this format by October 2013.

Please be aware that the software is not currently compatible (or Supported) with Sage 200. Sites that have installed this software on to a machine running Sage 200 have identified a conflict with Sage 200 Report Designer.
